Timesheet Instructions Open the Timesheet and select “Enable Macros”. The ‘Employee Information’ box will appear.Enter your first and
last name in the “Name” field. Enter your Job Title
in the “Position” field. Enter your
supervisor’s first and last name in the “Supervisor’s” field Check the “Period
Ending” date and change it if necessary. The dates/days of the week
column headings will update automatically. The number of visible columns may
also change according to the number of days in the pay period (the number of
columns can range from 13-16). Click “OK” and
your timesheet will be updated with the information from the ‘Employee
Information’ box. Enter your hours in
the appropriate rows. Total hours will be automatically calculated for each
column and row. You can clear all of
the hours entered by clicking on the “Clear Entries” button in
the upper left corner of the Timesheet. This may be helpful if you wish to
re-use the Timesheet from one pay period to the next. Save your changes by
clicking on the “Save To Desktop” button. You’ll be prompted
for an optional password so that only you can open and view
your Timesheet. If you do not wish to password protect your timesheet,
simply leave the password field(s) blank and click “OK”. The
Timesheet will be saved on the Windows desktop with your first and last name as
the file name. Click “OK” and the Timesheet will automatically close.
Do not close your Timesheet without saving it to the desktop or
your changes will be lost. If you wish to save your Timesheet somewhere other
than the desktop, save it to the desktop first, then cut and paste it to your
preferred location. To
print a copy of your Timesheet, press the <Ctrl> + <P> keys. To send your Timesheet
to your supervisor, click on the “E-mail to Supervisor” button in
the upper left corner of the Timesheet. You’ll be prompted to enter your
e-mail password. If you wish to include a message to your supervisor with
your Timesheet, type it in the box. After a few moments,
you should receive a confirmation that your Timesheet has been sent. Click “OK”
and the Timesheet will close. This process sends a protected (read-only)
copy of the Timesheet as an e-mail attachment to you and your supervisor.
This will provide a copy of each submitted Timesheet for you to archive if
you wish.
